KennelOS is a software service operated by Nelson Ngo, ABN 68 264 322 144.

This Privacy Policy explains how KennelOS collects, holds, uses and discloses personal information.

We aim to handle personal information in line with the Australian Privacy Principles where they apply and as a product standard even where a small-business exemption may apply.

This policy applies to personal information handled through:

• the KennelOS website
• breeder accounts and workspaces
• signup and authentication
• support and feedback
• data export and deletion requests
• beta programmes
• future buyer and owner portal features when launched

Animal information is not personal information by itself, but animal records may be linked to an identifiable breeder, buyer or owner and may therefore form part of a personal-information record.

Account and identity information

We may collect:

• name
• email address
• authentication information
• account status
• legal-consent versions and timestamps
• login and security events
• Google account information where Google sign-in is used

We do not store your Google password.

Breeder profile information

We may collect:

• breeder or business name
• state or territory
• breeds
• breeder organisation memberships
• breeder identifiers
• source numbers
• contact details
• profile preferences
• onboarding responses

Dog, litter and puppy information

We may collect information about:

• adult dogs
• litters
• puppies
• matings
• registrations
• microchips
• health events
• vaccinations
• worming
• medications
• genetics
• weights
• photos
• notes
• handover records

Buyer and applicant information

A breeder may enter information about applicants and buyers, such as:

• name
• email
• telephone number
• address or location
• puppy preferences
• application information
• reservation and placement status
• deposit and final-payment records
• pickup or transport information
• communications notes
• handover information

Before the buyer portal launches, some buyer information may be supplied to KennelOS by the breeder rather than directly by the buyer.

Financial record information

We may store breeder-entered records such as:

• deposits
• final payments
• puppy-sale income
• expenses
• payment status
• workflow references
• receipt information where available

Unless expressly stated for a future feature, KennelOS does not collect or store full payment-card details.

Uploaded content

We may collect:

• dog and puppy photos
• supporting documents
• evidence files
• health documents
• export requests
• support attachments

Do not upload unrelated identity documents or sensitive personal information unless KennelOS expressly asks for it.

Technical information

We may collect:

• IP address
• browser and device information
• operating system
• timestamps
• route and performance information
• request identifiers
• error information
• authentication events
• security events
• cookie and session information

We aim to keep names, buyer details, animal-health notes and other sensitive content out of performance logs and analytics.

Support, feedback and communications

We may collect information you provide when you:

• contact support
• report a bug
• give feedback
• request export
• request correction
• request deletion
• participate in beta testing

We may collect information:

• directly from you
• from a breeder who enters buyer or applicant details
• through an authentication provider
• automatically when you use the service
• from records generated by your use of KennelOS
• from support communications
• from a buyer or owner when portal features are launched

Where we receive personal information about a buyer from a breeder, we may provide or require an appropriate collection notice.

We may use personal information to:

• create and manage accounts
• authenticate users
• provide breeder workspaces
• store and connect breeder records
• support waitlist, reservation, placement and handover workflows
• provide data export
• handle deletion and correction requests
• provide support
• secure the service
• detect abuse or unauthorised access
• diagnose errors and performance problems
• comply with legal obligations
• communicate important service information
• improve the product using de-identified or aggregated information where appropriate
• operate beta programmes
• provide buyer and owner portal features when launched

We will not use personal information for an unrelated purpose unless we have consent or another lawful basis.

Breeders are responsible for having a reasonable basis to collect and enter buyer information.

KennelOS may act as a software provider storing that information for the breeder while also handling account, security and platform information for KennelOS purposes.

A buyer may contact either the breeder or KennelOS about access or correction depending on which organisation controls the relevant record.

KennelOS will cooperate reasonably with valid requests and with breeders' obligations.

We may disclose personal information:

• to service providers that help operate KennelOS
• to an authentication provider when you choose that login method
• to hosting, database and file-storage providers
• to monitoring or support providers
• to email delivery providers when communications are enabled
• to professional advisers under confidentiality obligations
• where required or authorised by law
• to protect users, the public or the service
• with your consent
• as part of a business transfer, subject to appropriate safeguards and notice where required

We do not sell personal information to advertisers.

We do not give advertisers access to breeder, buyer, puppy or health records.

KennelOS currently or potentially relies on providers for:

• cloud hosting
• serverless functions
• database hosting
• file storage
• authentication
• error monitoring
• analytics
• email delivery
• domain and support services

Before publication, Codex must insert a verified provider list or link to a maintained processor register.

Suggested public wording:

Our current service providers and their purposes are listed in our Third-Party Processor Register. Provider arrangements may change as the service develops. We update the register when a material processor changes.

Do not publish provider names or countries that have not been verified.

Some service providers may store or process information outside Australia.

Based on current architecture, overseas processing may include Singapore and the United States, as well as other countries used by verified providers.

Before publication, replace this paragraph with verified locations from current provider documentation and contracts.

Where the Australian Privacy Principles apply, we will take reasonable steps in the circumstances regarding overseas recipients as required by law.

KennelOS uses necessary cookies and similar technologies for:

• authentication
• account security
• session management
• theme preferences
• core service operation

We may use privacy-conscious analytics or error monitoring to understand product reliability and usage.

We will not intentionally send names, email addresses, buyer details, dog names, health notes or payment notes to analytics services.

If non-essential tracking is introduced, we will assess whether notice or consent controls are required.

We may send essential service messages about:

• account security
• legal changes
• outages
• beta access
• requested support
• data export
• deletion requests
• portal invitations
• important workflow events

Marketing communications will be kept separate where practicable.

Where the Spam Act applies, commercial electronic messages will include required sender information and a functional unsubscribe mechanism.

Unsubscribing from marketing will not stop essential account or security messages.

We use technical and organisational measures intended to protect personal information, such as:

• authentication
• server-side ownership checks
• access controls
• encrypted transport
• provider security controls
• secret management
• logging restrictions
• backups
• incident-response procedures
• software updates
• access review

Some current uploaded files may be stored through public or hard-to-guess file URLs.

A public file URL can potentially be forwarded or accessed by anyone who obtains it.

Before buyer portal or sensitive document features launch, KennelOS should use an access-controlled file-delivery model for private buyer documents and health files.

Do not upload sensitive human identity documents or unrelated private information to a public file field.

This section must be updated when private file delivery is implemented.

We retain information only for as long as reasonably needed for:

• providing the service
• account administration
• security
• dispute resolution
• legal compliance
• tax and financial record obligations
• audit integrity
• backup and recovery

Retention periods differ by record type.

Some financial records may need to be retained for at least five years under Australian tax record-keeping requirements.

Account closure does not always result in immediate deletion from backups, security logs, financial records or records required by law.

Our internal retention schedule is reviewed periodically.

Breeder users may request or generate an export of owner-scoped KennelOS records where the feature is available.

Exports may include structured data and file metadata.

Current exports may include links to stored photos rather than all image binaries.

Exports are private and should be stored securely by the user.

Future buyer and owner exports will be described before those features launch.

KennelOS currently uses a manual deletion-request process.

A deletion request does not guarantee immediate deletion of every record.

We may need to retain information:

• to comply with law
• for financial record keeping
• for security and fraud prevention
• in backups for a limited period
• to resolve disputes
• to preserve audit history
• where deleting one user's record would improperly alter another user's lawful record

We will explain the outcome of a verified deletion request.

You may request access to or correction of personal information KennelOS holds about you.

We may need to verify your identity.

We may refuse or limit a request where permitted by law, including where disclosure would unreasonably affect another person's privacy or expose security information.

Where we refuse a request, we will explain the reason where required.

If a buyer asks about information controlled by a breeder, we may refer the request to that breeder while helping with KennelOS account information.

• the relevant account or breeder relationship
• the outcome you seek

We will acknowledge and investigate complaints within a reasonable period.

If you are not satisfied and the Privacy Act applies, you may be able to complain to the Office of the Australian Information Commissioner.

KennelOS breeder accounts are intended for adults.

Buyer and owner accounts should also be limited to users aged 18 or older unless a future family-access feature is designed and reviewed for minors.

Do not provide a child with independent account access without an approved policy and age-appropriate privacy design.

KennelOS does not currently make automated decisions that determine legal rights or materially affect a person's interests.

If this changes, we will review applicable transparency requirements and update this policy before the feature launches.

We may update this policy when:

• the product changes
• provider arrangements change
• legal requirements change
• buyer or owner features launch
• data practices change

We will publish the current version and provide reasonable notice of material changes where appropriate.
